Privacy Policy

This policy explains what personal data Coding with Sir Chris Academy (CWSC) collects, why we use it, who we share it with, and the rights you have under Ghanaian law — including how we use Google Calendar.

CWSC is a learning platform operated in Ghana. We handle personal data as a data controller under the Data Protection Act, 2012 (Act 843). This policy should be read with our Terms of Service.

Google Calendar

CWSC requests access to Google Calendar so a mentor can put mentorship sessions on their calendar and generate a Google Meet link. Students do not connect Google Calendar. Only a mentor or admin does that.

We use the Google Calendar scope https://www.googleapis.com/auth/calendar.events and the Calendar API calendar.events to create, read, update, and delete events on behalf of the connected user.

What we access

We only create and manage events for CWSC mentorship bookings. We do not read or copy the rest of the connected calendar.

For those session events we use:

  • Title, description, start and end time, and timezone
  • Attendee emails (mentor and the student who booked)
  • The Google Meet link
  • The event ID (so we can reschedule or cancel the same event)

A student’s CWSC email — Gmail or any other provider — is sent to Google as an attendee so they can receive the invite and join the call.

Why we need it

Only to schedule mentorship: create the event, add Meet, invite both people, update it if the time changes, and delete it if the session is cancelled. We do not use Google Calendar data for ads, marketing, or anything else.

How it is stored

For a connected mentor we store the Google login tokens needed to keep that connection, on our servers, linked to their CWSC account. For each booking we store the event ID and Meet link. We do not store the mentor’s full calendar.

Who it is shared with

  • Google — to create and send the calendar event and Meet link
  • The student and mentor — they see the time and Meet link in CWSC, and usually in the email invite Google sends
  • CWSC staff — only as needed to run bookings

We do not sell Google user data or share it with advertisers.

Revoking access and deleting this data

Disconnect CWSC in Google Account permissions. After that we cannot change that calendar.

To delete the tokens and Meet details we hold, email cwsc.app.academy@gmail.com. Events already on Google Calendar stay there until you delete them in Google or cancel the booking in CWSC while Calendar is still connected.

Google Limited Use

Our use of information received from Google APIs complies with the Google API Services User Data Policy, including Limited Use: we use it only to provide mentorship scheduling, we do not use it for ads, and we do not transfer it except to run that feature, to comply with law, or as part of a merger with notice to users.

What we collect

  • Account: name, email, phone, occupation, why you joined, and optional details you choose to add (experience, location, GitHub or LinkedIn)
  • Sign-in: a one-time code sent to your email, and cookies that keep you signed in
  • Learning: enrollments, progress, notes, assignments, grades, mentorship bookings, and notification preferences
  • Payments: amount, course, coupon, payment reference, and status. Card and mobile-money details are handled by Paystack, not stored by CWSC
  • Technical: basic logs (such as IP address) needed to run and secure the site

Why we use it

Under Act 843 we use personal data only for stated purposes:

  • Create your account and let you sign in
  • Deliver courses, assignments, and mentorship
  • Take payment and give course access
  • Send service email (login codes, enrollment, booking reminders)
  • Keep the platform secure and meet legal or accounting duties

We do not sell personal data. We do not use it for third-party advertising or direct marketing, and you can object to marketing under section 40 of Act 843 if that ever changes.

Who we share it with

We share data only where needed to provide the service. Some of these providers process data outside Ghana:

  • Paystack — payments
  • Google — Calendar, Meet, and lesson video playback
  • File hosting — assignment uploads and course files
  • Email delivery — login codes and service messages
  • Hosting — to keep the website and data online
  • Mentors and admins — what they need to teach, grade, and run sessions

Optional WhatsApp community links take you to WhatsApp, which has its own privacy policy. We may also disclose data if Ghanaian law requires it.

Cookies

We use essential cookies to keep you signed in, and the browser may remember simple preferences such as theme. We do not use advertising cookies. Lesson videos played through YouTube may set YouTube’s own cookies.

How long we keep it

We keep account and learning data while your account is active. Login codes expire shortly after they are sent. Payment records are kept as needed for accounting and disputes. We delete or anonymise personal data when it is no longer needed for these purposes, or when you successfully ask us to erase it.

Your rights (Ghana)

Under Act 843 you may, by emailing cwsc.app.academy@gmail.com:

  • Ask what personal data we hold and get a copy (access)
  • Ask us to correct inaccurate data
  • Ask us to block or erase data we no longer need to keep
  • Object to processing that causes unwarranted damage or distress
  • Object to use of your data for direct marketing

You can also complain to the Data Protection Commission of Ghana if you believe your data rights have been breached.

Young learners

CWSC is for people learning to code, including teenagers. It is not aimed at very young children.

Under the Children’s Act, 1998 (Act 560), a child is a person under 18. Ghana’s Data Protection Act treats personal data of a child who is still under parental control as special personal data. If you are under 18, a parent or guardian should know you are using CWSC and agree to this policy. We do not ask for health, religion, ethnicity, or other sensitive details that Act 843 separately restricts.

If you believe a young child created an account without a parent’s knowledge, contact us and we will close it.

Changes

We may update this policy. The date at the top will change. If we change how we use Google user data, we will say so here.
